Activity and/or Vendor Approvals

Girl Scouts of Citrus Council wants to ensure the safety of our Girl Scouts, volunteers, and staff at all times are our number one priority. Whenever you are planning any activities, always be sure to review the guidelines in  Safety Activity Checkpoints, to see what the specific guidance for the activity and to check if Council approval is required.

What is the Approved Vendor List?

The Approved Vendor List is made up of facilities and/or specific high adventure activities that have been through a specific vetting process that reviews safety guidelines, policies, facility compliance, insurance minimums and staff training requirements.

If the activity requires prior approval, a GSC designated staff member must vet and approve the location, prior to any active participation by Girl Scouts.

Which activities require approval?

All high risk/adventure activities need prior approval from the council. High risk is defined as: any activity that requires specialized skills, training, equipment and/or supervision on the part of the participant, instructor and/or the vendor. Examples of these include but are not limited to: Horseback riding, rock climbing, low & high ropes, climbing walls, canoe/kayak, paddleboard, surfing, indoor trampoline, indoor skydiving or shooting sports or locations and/or sites that provide these types of activities.

When reviewing activities to participate in, please follow the following guidance:

  • Remember to refer to Safety Activity Checkpoints for all activities.
  • Review complete guidelines for the activity such as grade/age, Council approval, appropriate clothing, and any other specific requirements.
  • Always contact the facility prior to the activity for any site-specific guidelines and requirements such as: waivers, weight & height restrictions, etc.

Which activities do not require approval?

In general, activities that do not have any type of risk associated with them, do not need Council’s approval, including but not limited to art studios, performing arts, family fun centers, ice/roller skating, arts and crafts,

*Please note: If a venue has multiple activities, some of them may require approval and some may not, be sure to verify prior to participation.

How do I know which guidelines to follow?

Remember that for all activities, the leader/designated adult should:

  • Review all Safety Activity Checkpoints
  • Verify the activity is on the current  Approved Vendor List  (if applicable) prior to scheduling the event/activity.
  • Complete and submit a Troop Activity Request (TAR)

What if a vendor is not on the Approved Vendor list and the activity requires prior approval?

We are always on the lookout for new opportunities to bring to our Girl Scouts. To request vendors and/or activities to be approved, please submit the  Vendor Request Form.

*Please note:

  • The submission of this form does not automatically approve the vendor.
  • Remember to plan your activities accordingly, the approval process can take 4 to 6 weeks.
  • All requestors will be contacted upon completion of the visit.
  • The Vendor List is updated periodically, and vendors may change.
  • Please refer to the website, for the most current list available.

For all questions regarding High Adventure Activities, Safety Guidelines or Vendor Approval please email Customer Care at customercare@citrus-gs.org.
